Sales Admin
Location: remote
Reports to: Chief Revenue Officer
We are seeking a highly organized and detail-oriented Sales Admin to support a fast-paced sales team. This role requires managing a large volume of inbound and outbound phone calls, coordinating multiple calendars, and ensuring accurate sales administration. This position involves significant daily phone communication with customers, prospects and internal team members, so strong phone presence and communication skills are essential. The ideal candidate thrives in a busy environment, can manage competing priorities, and provides excellent internal and customer-facing support. Experience with HubSpot CRM is a strong plus.
Role & Responsibilities
• Manage a high volume of inbound and outbound phone calls, assisting customers and supporting the sales team with inquiries, scheduling, and follow-ups.
• Make proactive outbound calls to schedule appointments, confirm meetings, and follow up with prospects and clients.
• Coordinate and manage multiple calendars for sales representatives, including scheduling calls, meetings, and appointments.
• Process and track a large volume of contracts, and customer documentation with high accuracy.
• Maintain and update customer records, notes, and activity tracking in the CRM system (HubSpot experience preferred).
• Communicate with customers regarding status, scheduling, and general account inquiries.
• Monitor and organize sales pipelines and ensure tasks and follow-ups are completed in a timely manner.
• Coordinate with internal departments to ensure smooth processing of sales and customer requests.
• Maintain detailed documentation of customer interactions and sales activities.
Your Qualifications
- 2+ years of experience in sales administration, customer support, or administrative support in a fast-paced environment.
- Proven ability to handle high call volumes and multitask effectively.
- Experience managing multiple calendars and scheduling for teams.
- Familiarity with CRM systems (HubSpot preferred).
- Strong organizational skills and exceptional attention to detail.
- Excellent communication and customer service skills.
- Proficiency with Microsoft Office tools.
- Ability to prioritize tasks and stay organized in a high-volume, fast-moving
environment.
Preferred Skills
- Experience supporting sales or account management teams.
- Prior experience in a high-call-volume office environment.
- CRM reporting or sales pipeline management experience
